3MF Delivery Acceptance: Look Beyond the Preview

A buyer receives a 3MF package with a convincing preview. The picture resembles the requested part, yet the delivery review has not established which model content the receiving application will use. A 3MF delivery acceptance should therefore name the package and the observations needed beyond its thumbnail. This article develops a fictional digital handover. It reports no imported model, printed specimen or inspection result.

Decide what the preview was meant to communicate

Ask whether the supplied image is a package preview, an object preview or an illustration placed in the supplier's accompanying message. Those images may serve different purposes. A reviewer should not infer their role from appearance alone. Keep the image associated with the particular file or communication in which it was delivered, and request an explanation when that association is unclear.

The current 3MF Core Specification describes thumbnail images representing the 3D payload or specific objects and their display by external systems. Such a picture is useful for recognition. It does not make a thumbnail an inspection of every piece of model content or a demonstration that a receiving workflow interpreted the package as intended.

For the fictional buyer, the preview answers a navigation question: which delivery should be opened? The acceptance task asks a different question: what did the commissioned file actually supply? Write both questions on the handover sheet so a recognizable picture does not silently replace the requested digital-content review.

Identify the package the supplier is asking you to accept

Retain the delivery reference, the supplied filename and the supplier's explanation of its intended contents. A replacement file should be identified as a replacement rather than quietly overwriting the earlier submission. If a preview is supplied separately, ask which package it represents. The reviewer needs a clear relationship, not a guess based on similar names.

Next, ask the supplier to identify the model or objects relevant to the commission. The correct scope may concern a single requested item or a collection. The contract should settle that scope. A reviewer who opens one visible item should avoid concluding that every other item in the package has also been examined.

If the contributor changes the package after a question is raised, preserve the original question and associate the response with the new delivery. The revised preview may help explain the change, but it cannot alone show what changed in model content. Ask the supplier to identify the affected material and the intended observation.

Agree on an observation in the receiving application

The 3MF Consortium's lib3mf project documents reading and writing capabilities together with conversion and validation tools. This shows that programmatic inspection is part of the available 3MF tooling. It does not report a test of the buyer's package or establish that every receiving application has identical behavior.

The parties should choose the relevant receiving tool and identify its version and agreed task. For example, they can ask the supplier to explain which delivered model the tool presents after opening the named package. This is a proposed software-only observation, not a command sequence or an assertion that an actual import has succeeded.

Before any demonstration, confirm that the supplier is using the submitted package rather than a prepared illustration or an earlier working copy. A demonstration with a different file may explain the tool, but it cannot settle the acceptance question about this delivery until the relationship is established.

Keep tool output and supplier explanation distinct in the record. A displayed name may help identify content, while a separate explanation may be needed to relate that name to the commission. If the tool presents a different visible arrangement from the thumbnail, request clarification. Do not infer corruption, missing geometry or manufacturing unsuitability from appearance without the evidence needed for those conclusions.

Write the digital-content finding at its actual scope

A useful acceptance note identifies the package, the reviewed content and the receiving-tool observation. It should explain what the preview contributed and what was established by another form of evidence. Where a question remains open, name the missing association or observation rather than using a broad file failed label that hides the actual issue.

Separate this digital review from any subsequent production decision. Recognizing model content does not determine material suitability, machine preparation or the conformity of a printed part. Those decisions need their own responsible reviewers and evidence. This article neither supplies machine settings nor authorizes fabrication from an unreviewed file.
